The following gives an overview of what the Financial Officers of the chapter need to have prepared each month in addition to the Financial Secretary and Treasurer report for your Mother’s meetings. The Financial Officers need to discuss with their Executive Board, the financial reports that will be distributed at each Mother’s meeting.
September
· The Treasurer and Financial Secretary should have an approved budget for their general operating account and fundraising account. A budget provides realistic financial information regarding the operations of the chapter.
· Collect and deposit chapter dues by end of the month unless otherwise stated in chapter bylaws.
· Create a roster which lists the mother’s that are financial (according to chapter bylaws.) This is necessary if a vote is required at the meeting.
· Update the MIS System. Work with your chapter President and Chapter/Regional Technology chair to get access to the Jack and Jill MIS. This will allow you to print current chapter rosters for mothers, associates and teens.
· Set up your chapters accounting and financial reporting system. Setup your chapter’s chart of accounts to match your budget.
October
· Send in registrations for Cluster/Area Work Day
· Northern Cluster – Tacoma, WA/October 27, 2007
· Southern Cluster – San Diego, CA/November 10, 2007
· Central Cluster – San Francisco, CA/November 17, 2007
· Send in per capita and the per capita forms from the MIS system. Chapter checks must be received by October 31st and late fee will apply.
November
· Chapter Treasurer and President should have received an email from the Regional Secretary-Treasurer confirming receipt of per capita.
· Chapter program book are due to the National Program Director and the Regional Director by November 1st. Late fee will apply.
December and January
· Review the Financial Handbook and forward comments, questions, concerns to Carla Underwood (stcarlau@cox.net). This handbook will be presented to the mothers at the National Convention to be voted on as a Jack and Jill document.
· Review End of Year Reporting Requirements. The forms are available on the website.
February and March
· Organize your chapter budget committee and begin gathering information to put together the chapter budget for the following program year.
· Up the Hill payments are due and they are usually due in mid-February.
April
· Teen conference forms and fees are due in mid-April.
May
· Foundation contributions are due to Regional Secretary-Treasurer by May 15.
· Vote on chapter budget for June 1 through May 31 no later than May 31.
· New Member Joining fee are due May 31
· Regional $55 (Increase voted on at Mother’s Regional)
· National $75
· New Member Headquarters fee due May 31
· $100 (one time fee)
June
· Chapter End of Year Financial Reports Due by June 30 a late fee will apply.
· Items needed to complete EOY report:
· Per Capita report submitted in October
· Fundraising report submitted in May
· New Member report submitted in May
· May 31st bank statement from previous year
· May 31st bank statement from current year
· Chapter Treasurer and President should have received an email from S-T confirming receipt of New Member Joining fees.
July
· Chapter Treasurer and President should have received an email from S-T confirming receipt of EOY reports.
· Chapters that do not submit reports cannot be seated at National Convention.
